Data collected

Depending on the services used, SEQUOYAH may collect the following data:

• first and last name;
• e-mail address and phone number;
• postal address and billing information;
• stay dates, number of guests and special requests;
• content of messages and exchanges;
• technical browsing data.

Bank details are processed directly by the payment providers or booking platforms. SEQUOYAH does not keep full card numbers.

Purposes and legal bases

The data is processed to:

• respond to enquiries and prepare a booking;
• manage bookings, stays, payments and customer relations;
• issue invoices and comply with accounting and legal obligations;
• ensure the operation, security and improvement of the site;
• send marketing communications only where the recipient has consented.

These processing operations are based, depending on their purpose, on the performance of a contract or pre-contractual measures, compliance with a legal obligation, SEQUOYAH’s legitimate interest, or the consent of the person concerned.

Information marked as mandatory is necessary to process the request or booking. Otherwise, it may not be processed.

Recipients

The data is accessible only to:

• those responsible for managing enquiries, bookings and stays;
• the technical providers necessary for the site’s operation;
• payment and booking providers;
• advisers, accountants or legally authorised authorities, where necessary.

When a booking is made on an external platform, in particular Airbnb or Booking.com, the processing carried out by that platform is also governed by its own privacy policy.

Retention period

Data is kept only for as long as necessary for its use:

• enquiries without a booking: three years maximum from the last contact;
• data linked to a booking: for the contractual relationship, then for the legal periods necessary to handle any claims;
• invoices and accounting records: ten years;
• data used for marketing communications: until consent is withdrawn or, at most, three years after the last contact.

Some data may be archived for longer where required by a legal obligation or where necessary to establish, exercise or defend a right.

Cookies and booking module

The Beijaflor Residence site does not place audience-measurement or advertising cookies. The Lodgify module, required to check availability and make a booking, is loaded only when the user reaches the booking section. This external provider may then use functional trackers strictly necessary for the requested service. Beijaflor Residence does not activate any non-essential tracker without consent. Cookies can also be deleted or blocked in the browser settings.

Security

SEQUOYAH implements appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration or disclosure.

Your rights

Everyone has, under the conditions provided by the regulations, the following rights:

• access and rectification of their data;
• erasure and restriction of processing;
• objection to processing;
• data portability;
• withdrawal of consent at any time.
